Separate the causes
The roll label and measured length differ
Check whether the packing list is in metres or yards, whether every labelled roll arrived, and whether the receiving meter counter starts at zero. Agree a calibrated measurement method and handling tension with the supplier. A quick tape measurement on a stretched edge is not a reliable basis for the entire roll.
Length agrees but the cutting room runs short
Look at usable width, one-way nap, plaid matching, sizes and marker layout. These can change consumption per coat without changing delivered metres. Compare the approved marker with the actual cutting plan before treating a yield change as a short delivery.
Defects or unusable ends reduce available metres
Map joins, damaged ends and defects by roll and position. Distinguish total length from an agreed allowance for unusable sections. Do not deduct the same defect twice through both rejected metres and a reduced marker yield; keep the commercial disposition separate from the raw measurement.
Steps before deciding
- Reconcile purchase order, packing list and received roll IDs; record missing rolls separately from disputed lengths.
- Keep labels, packaging photographs and the original counter reading; record any yardage already sampled or cut.
- Agree the measurement procedure, units, tension and calibration evidence before opening or remeasuring disputed rolls.
- Prepare a per-roll ledger: stated length, measured length, agreed unusable sections, usable width and net cutting allocation.
- Review the arithmetic jointly before agreeing replacement, credit or a revised production allocation. Do not consume disputed evidence first.
Worked example
Illustrative, not a Fred Textile delivery record: labels total 1,000 m, joint measurement gives 985 m, and 15 m are separately agreed unusable. Physical shortfall is 15 m; net allocation is 970 m, which is 30 m below the labelled total. At a hypothetical 2.5 m per coat, 970 ÷ 2.5 = 388 coat equivalents before any additional marker or size-mix losses. This is not a guaranteed garment count. Do not subtract the same 15 m of defects again if consumption already includes them.
Buyer questions
Can roll weight prove the number of metres?
Not on its own. Packaging, core weight, actual GSM, width and moisture affect mass. Weight can flag a discrepancy but does not replace the agreed length measurement.
Should every defect be deducted from the invoice?
Not automatically. Inspection acceptance and compensation depend on the agreed order terms and defect treatment. Record raw evidence before agreeing a disposition; an inspection score is not itself a refund formula.
Discuss the evidence with Fred Textile
Send Fred Textile the order reference, article, roll ledger, stated and measured lengths, measurement conditions, defect map and planned coat consumption. Ask to reconcile the physical shortage separately from the cutting-yield issue. Commercial remedies require agreement on the actual order.
